Downpayment

A down payment (deposit) allows clients to pay part of the course price in advance as a commitment to attend. This feature is most commonly used for one-off events such as camps, retreats, or tours.
Down payments are available for:
  1. Registration for full duration courses with the Course Fee price type (both scheduled payments and one-off payments)
  2. Registration for one session courses
Idea
Using down payments helps you manage course availability more effectively while reducing the risk of client no-shows.
Within these course types, you can choose from several calculation methods:

Fixed amount

Select Fixed Amount if you want all clients to pay the same deposit, regardless of the total course price. Enter the value in the Amount field.

Percentage

Select Percentage if you want the deposit to be calculated as a share of the course price.
QuoteExample: If you set 20%, the system will calculate the deposit based on the course price. You can also specify a maximum deposit amount to prevent the value from exceeding a reasonable limit for higher-priced courses.
We recommend using the Percentage option when:
  1. Multiple participants can register under one client
  2. Discounts (e.g., sibling discounts) are applied
  3. You want to keep the deposit proportionate and fair across different registrations

Down payment due date

The final step is to set the due date for the deposit. You can choose whether it should be paid:
  1. Before the course starts – e.g., 5 days before the first session
  2. After registration is created – e.g., within 3 days of registration
Set the exact number of days in the Due date (in days) field.

You can also configure Payment Reminder Settings to automatically move registrations with unpaid down payments to the waiting list after a set period of time. For detailed instructions, see the Payment Reminders manual.
